Everything runs on a personal phone
The whole business is run from one person’s WhatsApp, with no flows, no catalogue and no way to measure anything.
AUTOMATION / WHATSAPP
We implement WhatsApp Business API with conversation flows, automatic replies, a browsable product catalogue and handoff to a person when the conversation calls for it.
We register your number on the official WhatsApp Business API, verified under your business name.
We design conversation flows around your most common use cases, not a generic menu.
We load your browsable product or service catalogue right inside the WhatsApp conversation.
Approved templates reopen stalled conversations outside the free 24-hour window.
WHAT WE DELIVER
It’s not a personal phone with labels: it’s the official WhatsApp Business API with flows, catalogue and templates built around your real use case.
What ends up built around your number
Does your case fit? We will tell you what can be done, at no cost and no commitment.
Automate my WhatsAppWHEN IT MAKES SENSE
The whole business is run from one person’s WhatsApp, with no flows, no catalogue and no way to measure anything.
The same questions about hours, price or availability eat up hours of a small team every week.
A customer asks something, never writes back, and there’s no automatic, allowed way to pick that conversation back up.
The product explains well in a catalogue, but today photos have to be sent one by one, message by message.
WHAT CHANGES IN PRACTICE
The official WhatsApp Business API distinguishes two kinds of message: within the 24-hour window after the customer’s last message you can reply freely, with flows and a browsable catalogue; once that window closes, only templates already approved by Meta are allowed, meant to re-engage the conversation, not to sell directly. Automating WhatsApp properly means designing the flows for the free window and the templates for everything else.
Tools that simulate a phone to send bulk messages violate WhatsApp’s terms of use and usually end up getting the number blocked. That’s why we always work with the official API: we register the number, verify the business, design the flows around your real use cases and leave the templates ready for when a conversation goes cold. It all gets logged in the same CRM as the rest of your channels.
QUESTIONS BEFORE YOU START
Automating WhatsApp with the wrong tool can cost you the number. Here are the six things worth knowing before migrating your channel to the official API.
Regular WhatsApp depends on someone opening it and replying; automation sets up the official WhatsApp Business API, which allows conversation flows, a catalogue browsable inside the chat, quick replies for common questions and approved templates to pick up stalled conversations. It doesn’t replace a full sales conversation like the AI sales assistant, nor is it your website chatbot: it’s the infrastructure and flows for this specific channel.
It gets blocked when it’s automated with tools that simulate a phone, which is exactly what Meta’s terms of use forbid. Working with the official API — the only route we use — the number is registered and verified under your business name, and messages outside the free 24-hour window are only sent as already-approved templates. That’s the requirement that avoids the block, not a separate trick.
Between 2 and 4 weeks: verifying the number and the business with Meta usually takes anywhere from a few days to 2 weeks, and in parallel we design the flows and load the catalogue. If the number is already verified from prior use, it drops to 1 or 2 weeks. Message templates also go through Meta’s approval, usually resolved in under 48 hours per template.
Meta rejects templates that read like direct advertising without the customer having written first, or that don’t match its format. When that happens, we review the rejection reason and resubmit an adjusted version, at no extra cost for resubmitting a corrected template. We can’t promise a given template gets approved on the first try, since the final call is Meta’s, not ours.
Conversations and contacts stay in your WhatsApp Business account and your CRM, not in a separate system of ours. We set up the processing notice in the first message, the legal basis for template sends and the consent log for commercial communications, as GDPR requires. Phoenix Hub Solutions operates from Malta, within the European Union.
You need a phone number you can dedicate to the business — it can be the one you already use, if you’re fine migrating it to the official API — and access to verify your business with Meta. It also helps to have the 3 or 4 most repeated use cases in your current conversations clear. The first step is a short call to review your current number and decide the migration plan.
NEXT STEP
We review your number, your most repeated messages and your catalogue, and tell you which flow is worth building first.
